Best AI Note-Taking Apps of 2026: 8 Tools for a Smarter Second Brain
Updated October 15, 2026. The best AI note-taking app is not automatically the one that records meetings. This guide compares eight released tools for collecting, searching, connecting and reusing personal knowledge: typed and handwritten notes, web clips, PDFs, research sources, daily journals and project documents. We deliberately exclude the eight call-recording products in our separate meeting-assistant review. Every product below is currently offered by its vendor; prices are public US reference figures unless otherwise stated, not guaranteed Pakistan checkout quotes.
We used vendor plan pages and support documents alongside independently published note-app comparisons, notably Zapier’s note-taking guide and TechRadar’s 2026-updated note-app roundup. We did not purchase plans, run OCR tests, measure AI accuracy, benchmark sync latency or claim first-hand experience. Product scores are editorial fit estimates, not test-lab results. Recheck pricing and privacy terms before subscribing.
Quick picks: which AI note app should you choose?
- Best team workspace: Notion Business with AI, for shared notes, databases and connected knowledge.
- Best pen-and-ink notebook: Microsoft OneNote with an eligible Copilot license.
- Best research notebook: Gemini Notebook, the 2026 name for NotebookLM, for source-grounded PDF and web research.
- Best established clipping archive: Evernote Advanced.
- Best polished documents: Craft Plus.
- Best object-based second brain: Capacities Pro.
- Best proactive note follow-through: Mem Pro.
- Best local Markdown with optional AI: Reflect Open.
How we ranked the eight apps
Our transparent 100-point editorial rubric allocates 25 points to capture and retrieval, 20 to AI usefulness and source grounding, 20 to portability/offline/export, 15 to privacy and user control, 10 to integrations/collaboration and 10 to subscription value. We compare documented capabilities and limitations; scores are subjective weighted judgments based on published evidence, not empirical measurements. A 9.0/10 is not a 90% factual-accuracy rate. Price changes, regional restrictions and missing public quotas lower confidence.
For a broader look at conversational assistants rather than notebook-native tools, see our published comparison of AI chatbots. If you only need fast reminders, Google’s Keep integrations have also evolved, as covered in our Android and Google Keep integration report; Keep is not presented here as a fully featured paid AI knowledge base.

P001. Notion Business with Notion AI — 9.0/10 editorial score
Best for: Shared knowledge bases, connected databases and structured work notes. Current plan and cost: US $20 per member/month on annual billing or about $24 on monthly billing; Free and Plus provide only a limited AI trial.
What its AI actually does
Notion Agent can summarize, rewrite, answer questions about workspace content, and connect search to authorized services. Custom Agents consume separate Notion credits at $10 per 1,000 monthly credits; do not treat the Business seat as unlimited agent automation.
Capture, search, offline access and export
Pages, databases, web capture, document embeds, wiki templates and collaborative editing make this the most flexible organized workspace here. Offline pages can be selected for download; offline behavior is not equivalent to a fully local-first vault.
Privacy, training and security considerations
The public plan comparison describes 30-day retention with LLM providers on non-Enterprise plans and zero provider retention for Enterprise. Team administrators should check permissions, workspace sharing and connected-app scope before allowing AI to read confidential pages.
Trade-offs and practical limits
Complex relational databases need maintenance, and AI answers can be incomplete when permissions or connectors hide context. Export of a workspace as HTML, Markdown and CSV exists, but rebuilding relations in another product may take work.
Who should buy it?
Use it when research briefs, meeting follow-ups, reference notes and project tasks must live in the same searchable team workspace. Prefer a lighter app for quick personal scratch notes.
Evidence and confidence: Official plan grid documents AI trial gating, offline options, export and data retention. Independent note-app comparisons praise collaboration but also show that flexibility brings setup overhead. Check the official product/plan documentation before purchase. This is a research-only editorial recommendation, not a hands-on test.
P002. Microsoft OneNote with Copilot (Microsoft 365 Personal) — 8.8/10 editorial score
Best for: Handwriting, freeform notebooks and Microsoft 365 users. Current plan and cost: Microsoft 365 Personal is listed at US $9.99/month in the US; OneNote itself has a free tier. Copilot availability and usage depend on license, device, region and rollout.
What its AI actually does
Copilot can summarize notebook material, rewrite selections, propose task lists and draft content. Microsoft documents support for inked handwriting and Copilot Notebooks with grounded references; some OneNote Copilot features for personal subscriptions remain Windows-specific.
Capture, search, offline access and export
Freeform page canvas, typed and handwritten ink, pasted files, drawings, scans and notebook/section/page hierarchy suit classroom and client notes. Apps span Windows, Mac, web and mobile, but not every AI feature appears on every platform.
Privacy, training and security considerations
OneNote notebooks sync through Microsoft accounts or organizational Microsoft 365 services. Cloud Copilot processing and company compliance controls are not the same as end-to-end encrypted private local files; verify your tenant’s AI and retention policy.
Trade-offs and practical limits
Copilot may not be enabled for every license or shared notebook. Handwriting recognition quality and generated summaries are not independently measured in this article; handwritten math and complex layouts require human checking.
Who should buy it?
Choose this for pen-first students and office users who want familiar notebooks, especially when Word, Outlook and Teams already surround the workflow. Avoid paying for a subscription solely on the assumption that all Copilot features work on an iPad.
Evidence and confidence: Microsoft support explicitly lists summaries, tasks and platform/license restrictions. Zapier’s independent note-taking roundup rates OneNote highly for freeform capture and a generous free offering. Check the official product/plan documentation and vendor feature/support details before purchase. This is a research-only editorial recommendation, not a hands-on test.
P003. Google Gemini Notebook (formerly NotebookLM), Google AI Pro — 8.7/10 editorial score
Best for: Source-grounded PDF, website and research-document notebooks. Current plan and cost: Free Standard access exists; Google AI Pro has a US reference price of about $19.99/month, subject to country and checkout. Pro provides higher notebook/source and generation allowances than Standard.
What its AI actually does
The renamed Gemini Notebook uses uploaded or linked sources for grounded questions, summaries and citations. Google announced the July 2026 rebrand from NotebookLM and introduced deeper research capabilities; this is not merely the ordinary Gemini chat interface.
Capture, search, offline access and export
PDFs, web pages, Google documents and curated sources can become research notebooks. Source references and generated overviews help turn a folder of reading into questions and study guides, but they do not replace a general note editor or full task-management system.
Privacy, training and security considerations
Source files and AI prompts are processed by a hosted Google service, not a local encrypted vault. Workspace, education and consumer policies differ; review account-specific training and retention notices before uploading confidential research.
Trade-offs and practical limits
Published quotas and regional rollout change often. The free and paid tiers have different notebook and source limits; avoid relying on unverified daily chat counts because Google has changed reset policies. Offline-first writing and pen input are not core strengths.
Who should buy it?
Pick this for students and analysts comparing multiple PDFs, extracting claims with source citations, and assembling research outlines. Use a conventional notebook alongside it for personal journals and persistent project tasks.
Evidence and confidence: Google’s June/July 2026 product announcements document source-grounded research, model updates and rebranding. Editorial score rewards citation workflow rather than an invented factual-accuracy benchmark. Check the official product/plan documentation and vendor feature/support details before purchase. This is a research-only editorial recommendation, not a hands-on test.
P004. Evernote Advanced — 8.3/10 editorial score
Best for: Long-lived archives, scanned documents and multi-device retrieval. Current plan and cost: US $20.83/month equivalent billed $249.99 annually on the official US page. Starter is $8.25/month equivalent but has lower note, notebook and device limits.
What its AI actually does
Evernote’s 2026 plan comparison includes AI features alongside familiar note search and organization. Feature entitlements and monthly limits are not clearly quantified in the public comparison, so the article does not invent an AI prompt allowance.
Capture, search, offline access and export
Web clipping, notes, tags, attachments, scans and notebook structure make it attractive for an established archive. Advanced removes the Starter caps on notes, notebooks and devices, which matters more to heavy users than a flashy AI demo.
Privacy, training and security considerations
Evernote is a cloud-sync service; a password-protected account does not imply end-to-end encryption of every notebook. Sensitive records should be evaluated against vendor security documents, data processing terms and local legal requirements.
Trade-offs and practical limits
Annual Advanced pricing is steep next to lower-cost note apps. Legacy imports, OCR search and AI summaries can still miss table structure or misread scans, so verify quotations against the underlying image or PDF.
Who should buy it?
A sensible option when you already have thousands of tagged notes and rely on web clipping across devices. New users seeking only AI Q&A over a handful of PDFs may get better value from Gemini Notebook.
Evidence and confidence: Official plan table specifies the 2026 Starter/Advanced structure, device and note limits. Zapier’s note-taking comparison discusses Evernote’s recovery as a mature capture system; no proprietary AI accuracy test is claimed. Check the official product/plan documentation before purchase. This is a research-only editorial recommendation, not a hands-on test.
P005. Craft Plus — 8.2/10 editorial score
Best for: Beautiful linked documents, daily notes and polished personal writing. Current plan and cost: US $8/month billed monthly or $6.40/month equivalent billed yearly on the current vendor page. Plus includes 50 AI assistant credits per month; Free includes 15 credits.
What its AI actually does
Craft’s integrated assistant offers Core, Fast and Max model options on Plus and can work within documents. Credits are finite; a plan’s document storage allowance should not be confused with an unlimited AI generation budget.
Capture, search, offline access and export
Its structured blocks, daily notes, task lists, link sharing and export-friendly document presentation make it particularly good for project journals and writing that may be shared. Cross-device sync is part of the paid personal plan.
Privacy, training and security considerations
Craft is not advertised as a universal end-to-end encrypted notebook. Shared document links, workspaces and AI processing need their own access review. The vendor publishes regional pricing and payment differences; verify the final currency and taxes.
Trade-offs and practical limits
More polished documents do not automatically mean more powerful research retrieval. The 50-credit monthly assistant allowance may be exhausted by long iterative drafts; confirm in-app credit consumption before moving an entire workflow.
Who should buy it?
Choose it when note-taking and final-document presentation are inseparable: client briefs, lesson plans, personal essays and organized daily notes. For database-heavy collaboration, Notion is broader; for local ownership, Reflect Open differs.
Evidence and confidence: Craft’s live pricing page lists the 1,500-block Free cap, Plus unlimited content and exact 15/50 AI credit allowances. Independent note-app roundups identify Craft as a design-focused alternative. Check the official product/plan documentation before purchase. This is a research-only editorial recommendation, not a hands-on test.
P006. Capacities Pro — 8.1/10 editorial score
Best for: Object-based personal knowledge management and linked ideas. Current plan and cost: The vendor displays Pro at US $9.99/month with a monthly/yearly toggle; verify the selected billing period at checkout. An optional Plus AI Power-Up is displayed at $8.33/month equivalent when billed annually.
What its AI actually does
Pro provides an AI assistant, smart search, web-link and image analysis, and AI autofill within an object-based knowledge system. A monthly AI budget is included; heavier use requires the Pro+ add-on or top-ups.
Capture, search, offline access and export
Instead of forcing everything into folders, Capacities connects people, books, ideas and projects as reusable objects. The free plan includes full-text search, export, sync and offline support; Pro adds queries, tasks, version history and more integrations.
Privacy, training and security considerations
This is a synced knowledge service, not automatically a zero-knowledge encrypted vault. Pro is designed primarily for individuals rather than enterprise teams, and the vendor says it does not currently offer full organization plans.
Trade-offs and practical limits
The pricing page does not publish a single fixed number of AI prompts for every model. Different model and media operations draw on the budget differently; never translate the monthly budget into an invented unlimited-chat claim.
Who should buy it?
Use Capacities when ideas span projects, contacts, books and web resources, and you prefer an evolving network of objects to notebooks. Expect a learning curve if you are migrating from simple folders.
Evidence and confidence: Official pricing and FAQ confirm Pro’s included monthly AI budget, Pro+ top-ups, offline access and import/export. The ranking is a research-based assessment of workflow fit, not a tested search-speed result. Check the official product/plan documentation before purchase. This is a research-only editorial recommendation, not a hands-on test.
P007. Mem Pro — 7.9/10 editorial score
Best for: Automatic organization, personal reminders and agentic note follow-through. Current plan and cost: US $29/month for Mem Pro on the current vendor pricing page; Mem Plus is $9/month. Pro lists 100 new notes and 100 messages to Mem per month, plus one custom routine and one connection.
What its AI actually does
Mem Agent connects saved notes with follow-ups, projects and reminders. Its current plans meter both messages and new notes; the Pro tier also tracks up to 100 notes for tasks and projects each month and 25 hours of Voice Mode.
Capture, search, offline access and export
Quick capture, web clips, chat and connected email/work sources are designed for people who dislike filing every idea. The focus is remembering what matters rather than building a formal shared wiki.
Privacy, training and security considerations
Connections can expose data from services such as Gmail or Slack to Mem’s AI workflow. Grant only needed scopes, inspect retention and third-party processor terms, and avoid storing credentials or private client files until policy is reviewed.
Trade-offs and practical limits
The 100-new-note monthly Pro cap is a significant constraint for frequent clipping. Higher Pro 2x/5x plans raise usage at much greater cost. Voice Mode can capture spoken thoughts, but this article does not score meeting-transcription quality.
Who should buy it?
Consider Mem if the main failure is forgetting notes and actions after capture. It is not the strongest choice for heavy offline writing, handwritten diagrams or a 10,000-file PDF archive.
Evidence and confidence: The official October 2026 pricing grid now specifies granular messages, notes, tasks, routines and connection limits. Older online reviews with unlimited-note assumptions are not used for the price comparison. Check the official product/plan documentation before purchase. This is a research-only editorial recommendation, not a hands-on test.
P008. Reflect Open with optional BYO-key AI — 7.8/10 editorial score
Best for: Local Markdown, linked private notes and user-controlled AI providers. Current plan and cost: Reflect Open is free on Mac. The iPhone/iPad version has a paid App Store subscription; optional AI requires your own API key and is billed separately by the chosen provider.
What its AI actually does
Reflect’s newly promoted open-source product lets users ask questions over notes, summarize text and improve writing by connecting their own model API key. Requests go to the selected provider, so this is not a bundled unlimited AI subscription.
Capture, search, offline access and export
Daily notes, backlinks, a web clipper, audio memos, iCloud or Git sync and local Markdown files suit a portable personal knowledge archive. The Mac app is free and the vendor documents a migration path from Reflect Classic.
Privacy, training and security considerations
Local files and direct provider API requests give more control than a hosted all-in-one product. But sending notes to a model provider still exposes selected content to that provider’s own retention policy; notes marked private are excluded from AI note access.
Trade-offs and practical limits
This is a different 2026 product from the older paid Reflect Classic. Do not quote the legacy $10/month plan as Reflect Open’s Mac price. Android and Windows support are not promised on the current homepage; verify before committing.
Who should buy it?
Best for Mac-focused writers who value exportable Markdown and are comfortable configuring an API key. Skip if you need effortless multi-platform enterprise collaboration or a fixed included AI allowance.
Evidence and confidence: Reflect’s current official homepage explicitly describes open source, free Mac availability, paid iOS and separate BYO-key AI billing. This live evidence supersedes stale third-party Classic pricing articles. Check the official product/plan documentation before purchase. This is a research-only editorial recommendation, not a hands-on test.
Buying guide: five decisions that matter more than an AI badge
1. Can you get your notes out?
Export a representative notebook before moving years of material. Markdown and plain text are portable, but databases, embedded attachments, handwriting, OCR layers, backlinks and comments may not migrate cleanly. A service claiming ‘export’ may deliver a ZIP of HTML rather than editable notebooks. Try exporting linked pages, images, PDF annotations and tags from a trial account. Notion offers HTML/Markdown/CSV exports; Reflect Open uses local Markdown; Capacities advertises import/export. These are not equivalent formats.
2. Does AI answer from your sources or make general suggestions?
A grounded notebook should show which document or note supports an answer, allow inspection of the source, and admit when it cannot find evidence. Gemini Notebook specializes in cited source collections; Notion and OneNote can use authorized workspace material. Generic writing prompts are useful but do not verify claims. Test with an intentionally conflicting pair of documents and ask for a source quotation. Never treat a polished summary as proof that the app interpreted a complex table or scanned page correctly.
3. Offline notes and offline AI are different
Some apps cache selected notes while requiring a network for AI requests. Reflect Open stores local Markdown and uses a provider API key for optional AI, so notes can remain locally accessible even when the AI endpoint is unavailable. Notion offers offline-selected pages, while OneNote supports synchronized notebooks; availability depends on device and account. Cloud-first research tools may be unusable on a flight without connectivity. Confirm conflict resolution, attachment sync and device support, not just a marketing ‘offline’ checkbox.
4. Ask what the AI subscription actually meters
Notion Business bundles regular AI but charges separately for certain Custom Agents. Craft Plus lists 50 AI credits monthly; Mem Pro limits new notes and messages; Capacities includes a variable monthly AI budget; Reflect Open charges separately through your chosen API provider. OneNote Copilot is license- and platform-dependent. A monthly subscription can still have hard caps, model-specific costs, throttling or feature exclusions. For team accounts, multiply seat costs and add taxes before comparing.
5. Sensitive notebooks need more than a privacy slogan
Differentiate encryption in transit, encrypted storage, end-to-end encryption, local-only files and zero retention by a third-party model provider. These are not interchangeable guarantees. Notion documents a different provider-retention setting for Enterprise. Reflect Open gives direct provider-key routing, which transfers responsibility to the selected AI provider’s policies. Avoid uploading medical, legal, financial or confidential customer notes until you have checked processing locations, consent, deletion, access permissions and the applicable data-processing agreement.
How to test an app in one afternoon
- Import 10 real notes: a PDF, a web clipping, a handwritten page, a long article, an image and several linked notes.
- Ask three questions whose answers are explicitly in the source and one question that the notes cannot answer. Inspect the citation or linked source.
- Disconnect the network and check which notes remain editable; reconnect and inspect sync conflicts.
- Export everything and open it in a different editor. Verify attachments and links survive.
- Check the billing page for AI quotas, seat counts, renewal price, regional currency and data-processing terms.
Frequently asked questions
Are AI note-taking apps the same as meeting assistants?
No. Meeting assistants focus on consented call capture, transcripts and follow-ups for Zoom, Teams and Google Meet. This list prioritizes durable notes, document research, personal knowledge retrieval, writing, handwriting and export. Some products can also summarize meetings, but meeting recording is not the selection criterion.
Which app is best for students with handwritten notes?
OneNote is the most natural handwriting-first pick in this list. Verify Copilot licensing and device availability before expecting AI interpretation of inked notes. If a student’s main job is asking grounded questions across reading packets and PDFs, Gemini Notebook may be a better companion rather than a handwriting replacement.
Can I use these apps in Pakistan?
Many offer web or desktop access internationally, but subscription checkout, AI model availability, payment methods and local taxes vary by country. This review does not assert that every paid AI feature is available in Pakistan. Check the account-specific regional signup and payment page, especially for Google, Microsoft and App Store subscriptions.
Are AI summaries safe to publish without checking?
No. AI can omit qualifiers, misattribute sources, misread OCR, and invent references. Open the original note or PDF, verify quotations and numbers, and check permission to reuse sensitive material. The editorial scores here do not represent measured hallucination rates.
